The activities before placement of purchase order is the process of identification & selection of supplier. This part is handled through Reverse Auction (RA) & Request For Quotation (RFQ) business modules. This module enables the buyers to create the market, invite the supplier, monitor the market, get the result and analyze the result. The module also provides for passing the result data to Microsoft Excel for further analysis.

The activities after placement of Purchase orders comprises of monitoring the purchase order schedules, receipts, invoices, payments etc. and communicating with supplier with respect to the changes in schedules, specification etc. The eBuy allows an organisation to push out information about purchase orders, get confirmation about delivery schedule; goods receipt status and payments to its suppliers. Supplier can view only that information which is relevant to him.

The organization can also publish information of interest to the general supplier community on an electronic notice board. The supplier on his part can communicate dispatch details to the organization. The organization and supplier can exchange order specific communication in the system. The system keeps a record of all these exchanges.

This ability of the Web Based Procurement System is to put information in self-help mode for the supplier can free up a lot of time for the Purchase function which can be used to purse strategic objectives.
